For Artists

Artist Participation FAQ

Cultural Exchanges® seeks to create a transparent bridge between artist, artwork and collector. The following information explains the general framework for artists participating in curated online auctions and exhibitions.

01 · What is Cultural Exchanges®?

Cultural Exchanges® is an independent Indian cultural organisation and curated art platform based in Jaipur. We connect artists, collectors, cultural institutions and researchers through curated exhibitions, online auctions, provenance documentation, artist representation and international cultural collaborations.

Our objective is not simply to sell artworks, but to build a trustworthy ecosystem around the artist, the artwork and its cultural history.

02 · How does an artist become part of Cultural Exchanges®?

Artists may be invited, recommended or considered through our curatorial process. We review the artist's practice, biography, artworks, documentation and suitability for a particular exhibition or auction.

Participation is therefore curated rather than an open marketplace listing.

03 · What does an artist need to provide?

Typically, we request:

  • Artist biography or profile
  • Photograph of the artist
  • High-resolution images of selected artworks
  • Artwork title, medium, dimensions and year
  • Asking price or agreed auction parameters
  • Existing provenance or ownership information, where available
  • Certificate or authenticity information, where applicable

Additional documentation may be requested for institutional or international presentations.

04 · How many artworks can an artist submit?

The number depends upon the particular exhibition or auction. For a curated auction, Cultural Exchanges may request a small selection of works—for example, five artworks for initial consideration and highlighting.

The final selection remains subject to curatorial review.

05 · Is there an upfront participation fee?

For the online auction or exhibition participation currently being offered, the artist is not required to pay an upfront participation or listing fee.

Any special physical exhibition, transportation, framing, installation or other event-specific expense would be discussed and agreed separately before the activity takes place.

06 · How does the online auction work?

Selected artworks are presented through the Cultural Exchanges auction platform with relevant artwork information and artist details.

Collectors can participate according to the terms of the particular sale. An artwork is sold only when the applicable auction conditions are fulfilled.

07 · What happens if my artwork does not sell?

The artwork remains with the artist unless another arrangement has been specifically agreed.

An unsold artwork does not create a financial obligation for the artist merely because it was presented in an online auction.

08 · Who pays for shipping?

For an online sale, the buyer is responsible for the applicable shipping cost, subject to the terms of the sale.

Cultural Exchanges coordinates the logistics with the artist and buyer when required. The artist does not need to independently arrange international shipping unless otherwise agreed.

For physical exhibitions or events, shipping and logistics are discussed separately before participation.

09 · When does the artist receive payment?

Once the buyer's payment has been received and the transaction has cleared, the artist's applicable share is processed according to the agreed commercial terms.

The settlement timeline and applicable deductions or commissions are communicated before the artwork is offered for sale.

10 · What commission does Cultural Exchanges charge?

Commercial terms depend upon the specific programme, auction or representation arrangement.

No commission or deduction should be assumed without an agreed written commercial arrangement. The artist will be informed of the applicable terms before the artwork is placed for sale.

11 · Does the artist retain ownership before the sale?

Yes. The artwork remains the property of the artist until a completed sale transfers ownership according to the agreed terms.

Submitting an artwork for consideration does not itself transfer ownership to Cultural Exchanges.

12 · How is authenticity documented?

Cultural Exchanges places importance on provenance and authenticity documentation.

Where applicable, artwork records may include artist information, artwork specifications, provenance details, certificates and other supporting documentation. The objective is to create a reliable record that can remain associated with the artwork throughout its collecting history.

13 · Will my artwork be promoted?

Selected artworks may receive visibility through:

  • Cultural Exchanges websites
  • Auction catalogues
  • Social media
  • Curatorial and editorial content
  • Collector communications
  • Institutional and international cultural networks

The level of promotion depends upon the particular programme and curatorial strategy.

14 · Can I withdraw an artwork?

Withdrawal is possible subject to the stage of the programme and the specific terms agreed with the artist.

Once an artwork has entered an active sale or a binding transaction, withdrawal may not be possible.

15 · Will Cultural Exchanges represent me exclusively?

Not unless a separate written representation agreement is signed.

Participation in an auction, exhibition or individual programme does not automatically create an exclusive representation relationship.

16 · Can international collectors purchase my work?

Yes. Cultural Exchanges is developing an international collector and institutional network.

International sales may involve additional requirements relating to payment, taxation, export regulations, shipping, insurance and customs. These matters are handled according to the circumstances of each transaction.

17 · What about taxes and statutory requirements?

Applicable GST, taxation, invoicing and other statutory requirements are handled according to Indian law and the circumstances of the transaction.

Where an international transaction is involved, additional documentation or regulatory requirements may apply.

18 · How does Cultural Exchanges protect the artist?

Our approach is based on:

Transparency · Documentation · Provenance · Curatorial Integrity · Clear Commercial Terms

Artists should know where their work is being presented, how it is being offered, what commercial terms apply and how settlement will take place.

19 · What happens after I agree to participate?

Artist Submission → Curatorial Review → Artwork Selection → Documentation → Catalogue / Platform Listing → Promotion → Auction / Sale → Payment → Shipping → Collection Record

The artist is kept informed at the relevant stages.

20 · Who can I contact if I have questions?

Artists are encouraged to ask questions before submitting or committing their artworks.
